Aithera Labs is a trading name of Ascendant Ventures Ltd, a company registered in England and Wales. Our registered address is 66 Paul Street, London EC2A 4NA. We operate the flood prediction platform at aitheralabs.co.uk.

2. What Data We Collect
Contact form submissions:
- Name
- Email address
- Organisation (optional)
- Message content
Newsletter subscriptions:
- Email address (collected via double opt-in confirmation)
Dashboard access:
- An encrypted session cookie to maintain your login state (24-hour expiry)
Environmental data:
Our flood prediction system processes publicly available environmental data from the UK Environment Agency and Open-Meteo weather services. This data contains no personal information.
3. How We Use Your Data
- To respond to contact form enquiries
- To maintain your authenticated session on the dashboard
- To send our newsletter (if you subscribed via double opt-in)
- To send flood alert notifications (if subscribed)
We do not use your data for profiling or automated decision-making. We do not sell personal data. Personal data is shared only with the sub-processors listed in section 9 where necessary to deliver the service.
4. Legal Basis for Processing
Under UK GDPR, we process personal data on the following bases:
- Legitimate interest: Responding to enquiries and providing the flood monitoring service
- Consent: Newsletter subscriptions (double opt-in) and flood alert notifications
5. Data Retention
- Contact form data is retained for up to 12 months
- Newsletter subscriber email addresses are retained until you unsubscribe. You can unsubscribe at any time via the link in any newsletter email.
- Session cookies expire automatically after 24 hours or on logout
- Environmental data is not stored permanently — it is fetched in real time from public APIs
6. Your Rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Object to or restrict processing
- Data portability
- Withdraw consent at any time

7. Cookies
We use one essential cookie (aithera-session) to manage your dashboard login session. We also use Google Analytics 4 cookies (_ga, _ga_HMW3FPWV8L) to understand how visitors use the site — but these are only set if you click Accept on the cookie consent banner. We use Google Consent Mode v2, so no analytics data is collected by default. We do not use advertising, tracking, or social media cookies. For full details, see our Cookie Policy.
8. Data Security
We implement appropriate technical and organisational measures to protect your data, including encrypted connections (HTTPS), secure session management, and access controls. Our platform is deployed on enterprise-grade cloud infrastructure.
9. Third-Party Services & Sub-Processors
Our platform uses the following services. Those marked (sub-processor) may process personal data on our behalf.
- Brevo (sub-processor): Email delivery and newsletter list management. Brevo stores subscriber email addresses on our behalf. Brevo is GDPR-compliant and processes data in the EU. See Brevo's Privacy Policy.
- Google Analytics 4 (sub-processor, conditional): Site analytics — only active if you consent via the cookie banner. Data is anonymised and processed under Google's Privacy Policy.
- UK Environment Agency: Public river level data under Open Government Licence v3.0 (no personal data)
- Open-Meteo: Weather and soil moisture data (no personal data)
We do not integrate with social media platforms or advertising networks.

We may update this policy from time to time. Material changes will be communicated via a notice on our website. The “last updated” date at the top of this page reflects the most recent revision.
